Twenty-seven teams from the construction, engineering and service industry, including the host teams, AMICI and THERMOVAR completed the final list of basketball and badminton teams.

The opening ceremony started with a prayer and the national anthem. This was immediately followed by the Parade Of Teams. PBA superstars Kenneth Duremdes and Gerard Francisco graced the Opening Ceremony and surprisingly stayed longer than expected, much to the delight of the guests and players. During the intermission, an acrobatic number by the PLP Pep Squad brought back memories of UAAP and NCAA Opening Ceremonies.

Sexy and “funny” entertainer/comedienne Rufa Mi wowed the crowd with her masterful show hosting and punch lines. She hosted the Q and A portion for the Best Muse contest and the Blast Cheer Contest. These drew much laughter and cheers from the crowd. JSR Pascals Team pulled the biggest surprise of the show, and won the Blast Cheer by a creative “non-entry” cheer (?) of “wala! wala,! wala!” at the bleacher when asked by Rufa if they have prepared their own blast cheer. Hotel SOGO's Muse (Red Banner) won the Best Muse Award. AMICI HEATers' player and over-all Games Coordinator Mike Tayo ran the torch for the Traditional Torch Run followed by the traditional Oath of Sportsmanship led by one of the players of Hotel SOGO All Star Team.

The opening basketball games for the afternoon were determined through drawing of lots. The successful opening ceremony drew admiration and enjoyment from representatives of the participating teams despite “comedy of errors” and miscues. The Edgehttp://www.blogger.com/profile/16111616414520180202noreply@blogger.com0tag:blogger.com,1999:blog-7598280673181471306.post-85279915676662073202011-07-08T14:30:00.001+08:002011-07-09T00:24:03.056+08:00Sports Fest News and UpdatesJuly 7, 2011

First Game

MEGAWIDE Excellence excelled in a lop-sided victory over THERMOVAR Alley Piperz: 57 – 35.

Host team THERMOVAR Alley Piperz found MEGAWIDE Excellence too hot to handle and trailed from beginning till end of the game. The Excellence squad poured in points after points from their fluid offensive plays and likewise limited the Piperz' points with tight defense. They (Excellence) apparently dominated THERMOVAR in all departments from points to rebounds. MEGAWIDE is considered as the “team to watch” in this tournament.

Second Game

Filinvest Dream Makers won over AMICI HEATers in a cliffhanger double overtime: 47 – 45

A “dream match” preview between the FILINVEST Dream Makers and AMICI HEATers spiced up the Opening Games of the AMICI – THERMOVAR Invitational Sports Fest 2011. The game was indeed a cliffhanger, putting fans, supporters, and spectators at the edge of their seats. While the first quarter was pretty much even, Amici HEATers got the better of the Dream Makers during the second quarter with excellent defense. Not giving up, the Dream Makers managed to retake the lead by the end of the 3rd quarter. The fourth quarter saw several lead changes before a Filinvest run that gave them a six point advantage by the last two minutes of regular time. Two rare three-pointers by Amici forced overtime and sizzled the crowd. It looked like a game that would never end, when the game went to a second overtime. The game ended with two missed free throws by Sir Alex Yao off a foul before the final buzzer that could have forced a rare triple overtime. Both host teams suffered double “heartaches” at the opening games but vowed to bounce back in their succeeding games.

Third Game

SOGO All Stars imposed offensive might over TCGI Patriots: 56 – 43

TCGI Patriots gallantly put a stand against Hotel SOGO All Stars but found their opponents' offensive might too strong. Hotel SOGO quintet dominated most of the quarters after trailing in the first quarter. They (All Stars) also out-rebounded the Patriots and fluidly executed offense orchestrated by their heralded playmaker. All Stars won over Patriots, 56 – 43 at the final buzzer.

Fourth Game

DCCD Hunks buckled under high pressure offense from JSR Pascals and lost by 7 points: 53 – 46.

DCCD Hunks must have felt the “mega – pascals” of pressure defense and offense from JSR Pascals that handed them their first game loss. JSR Pascals stepped on the gas at the opening of the fourth quarter after they trailed the Hunks for most of the quarters. They have forced a mark into the "win" column along with MEGAWIDE Excellence, Hotel SOGO All Stars and FILINVEST Dream Makers. Pascals won by 7 points over the Hunks.
This project aims to let our customers get to know our new, exciting products faster, and to reduce costs by obviating the need to give away our 60 peso catalog to each and every customer.

Each brochure is a back-to-back long bond paper, Z-folded. In the design and selection of our brochures, a foremost issue is the time to market of new products. The launch windows of the new products are different, with some releasing as late as the 2nd half of 2012. We will have to manage with a good information campaign to our sales, marketers, and clients.

Our new Water Heating brochure is now live. Our Water Heater brochure introduces new and upcoming A.O. Smith and Atmor models, particularly A.O. Smith's solar heaters and heat pumps, as well as modern electronic wall-hung heaters.

Our Swimming Pool brochure introduces to the market the Wave Ball wave generators and Badu Jet water treadmills, the energy saving Intellipro VFD pool pump, Sta-Rite's new Intellibrite 5g LED lighting, robotic vacuum cleaners, and alternative systems to chlorine maintenance. The brochure is already with the printing press, and we're just waiting for delivery.

Our Pumps and Tanks brochure is as of this moment still in the design stage. It introduces 4 new brands: Aurora fire pumps, Hydromatic sewage pumps, A.O. Smith pressure tanks, and Pentair chilled water pumps. With the diversity of pumps that we market, it's been a tough job to prune and fit all the information so that the most important details get in our humble brochure. This is made more challenging because of the importance of pump performance curves.

Here's an example pump curve for Taco circulators. This covers 12 models in all.

This is most evident when we work with people whose natural language is not English. (Of course, they probably feel the same way, except that now, we do not know Chinese, Japanese, Korean, German, Spanish, etc.) Initial site visits to suppliers (especially in China) is a common prerequisite, not just to improve communication, but also to assuage fears and ascertain quality and capability. The most practical means of communication with global contacts is through emails and chat. But because of that, body language is lost in translation. And when we deal with state-of-the-art or very technical products, even computerized translations are hard-pressed to deal with all the myriad jargon in the water product industry.

As we adapt ourselves to the ever-changing market landscape in the Philippines, we have to do market analyses and feasibility studies for new products we wish to bring to the country. We have to answer the following questions: 1) Do we understand the product we're selling; 2) Do we have a market to sell here; 3) Is the market worth it? 4) What is the time to market? 5) What about support and warranty, if needed?
As usual, people are still prepped for the upcoming games. Unfortunately, that also means some are getting too diligent with their practice, playing chess games during work time.summerendshttp://www.blogger.com/profile/09188705749522665775noreply@blogger.com0tag:blogger.com,1999:blog-7598280673181471306.post-6066826142267392672011-04-06T00:29:00.000+08:002011-04-06T00:29:20.045+08:00A new HR in the BlockDuring the previous years in Amici, HR stuff had been wanting a home in our company. HR was not a single, orderly department, but several functions assigned among many hard-pressed multitasking people. Payroll was done before by admin, then marketing, then accounting. IDs and business cards are handled by IT or graphics design. Record keeping was not done at all till last year. Job screening and interviews were done by the operations manager. Government contributions were outsourced to an accounting company. And our company handbook, with the written code of discipline, was dreamed for so long, but never materializing.

But those are changing fast. Since last month, we finally have a dedicated HR department. With Ms Celna on board our team, we have high expectations. The past couple of weeks, we're already seeing solid policies for review and implementation. This week, we're back to the drawing board with job analyses. We're going back to the basics, laying once again foundations to our fast-growing company, not to alienate the traditions, but to augment and let our company spirit rise higher and more strongly.

It might sound odd to be doing this now, when one considers that we're past 13 years, the average life span of a company. But really, with all the changes we've gone through, especially the ups and downs of the past two years, we feel young. It's a brave new world.summerendshttp://www.blogger.com/profile/09188705749522665775noreply@blogger.com0tag:blogger.com,1999:blog-7598280673181471306.post-41331270511965320802011-04-04T10:45:00.000+08:002011-04-06T08:39:18.935+08:00Sportsfest Opened EarlyOur 2011 sportsfest officially opened last March 25 at the Amoranto Sports Center in A. Roces Ave., Quezon City. The schedule was somewhat unexpected to mainly due to three things. First, it was held together with our quarterly General Assembly. Second, that it was held before April. And lastly, it was a whole day Friday event.

The event started with our 2nd GA of the year. Unlike our previous one held last January, this one was less workshop and more about recognizing our people and their distinctive achievements during the first quarter. These include major sales of A.O. Smith's residential and commercial heat pumps, a mall-sized chilled water air conditioning system, wave ball wave generator, swimming pool water treadmill, and diesel-run Aurora fire pump. The GA was short and, true to management's fears, a little overshadowed by the subsequent sports fest.

The festivities started ala-Olympics with Mr. Gogo Espinosa running around the gym and lighting the torch. After a brief confusion on what to do with the torch, Gogo lead the oath of sportsmanship. Then, it was the team and muse parades. Kelly represented Admin/Sales, and Glodys stood for Thermovar. Service 1 Team stole Len from the Admin group, while Service 2 had Otep's daughter.

The Thermovar group's fiercely competitive spirit was visible early on, with their classy Adidas yellow and black uniforms. Admin/Sales displayed a more fun-fun spirit, with their Amici Blue uniforms, along with dorky blue balloon hats and accessories made the previous day. They even got to share more balloon hats of different colors to the Service teams.

The sports fest games started with two fun games, courtesy of Jheng and Gay. The first game was a crazily tiring for a fun game. Five randomly selected players on each team played a sack relay race. The twist is that instead of switching players on each loop, the players already jumping had to fetch team members one by one. In effect, the first player had to go round 5 times, and the second player 4 times.

The second game was a best-of-3 eggplant and matchbox game. An eggplant was tied with a rope on the player's waist to hang so that it didn't touch the floor. The player's goal was to get the matchbox on the floor to reach a finish line by swinging the eggplant. Ryan handily won the first round, but Pando squeaked past Ryan the second round. On the last round, it looked like a close game, until Pando managed to move his matchbox in the opposite direction.

After the fun games, we had women's and men's volleyball game. The service groups refrained from joining the women's game. For the women's volleyball, Thermovar handily won the game. For the men's volleyball, Thermovar won 2 to 1 against the Admin/Sales team. Between the Service groups, Team 1 got the best of Team 2.

After the volleyball came the much anticipated opening basketball games. Game 1 was between Service Team 1 and Admin/Sales. During the first half, it was a close game despite Service Team 1 leading pretty much. However, the second half became a rally point for the Admin/Sales from which Service Team 1 just never recovered. Admin/Sales concentrated on tighter defense in the paint and on the point guard, which lead to steals, turnovers, better defensive rebounds, lots of fast breaks, and ultimately a blow out.

Game 2 was a fierce battle between Thermovar and Service Team 2. While Service Team 2 had the tallest players around, Thermovar had avid fans of NBA, which translated to high basketball IQ. The highly competitive Thermovar also had the loudest cheerers. (That had its own disadvantage: it made third parties cheer for the unsupported underdogs.) For most of the game, Service Team 2 struggled without a point guard. Thermovar, on the other hand, played consistently throughout the game.

The fourth quarter proved a different story. Service Team 2 gained momentum early fourth quarter to close in on the game and made for a tense last-2-minute seesaw game, and overtime. During overtime, Service Team 2 gained fresh legs when a personnel returned just in time from a service job. They went on to finally notch the back-from-behind win.

Admin/Sales: 1 - 0
Thermovar: 0 - 1
Service 1: 0 - 1
Service 2: 1 - 0

After basketball, Ms. Celna from HR announced the winners for best muse and costume. Glodys of Thermovar was the best muse, while the Admin/Sales team won best costume.

It was a whole day event. The first shots have been fired. We got back to our office at 5:30pm. But people are already looking forward to the succeeding games.summerendshttp://www.blogger.com/profile/09188705749522665775noreply@blogger.com1tag:blogger.com,1999:blog-7598280673181471306.post-64859922111760721872011-03-06T23:04:00.000+08:002011-03-06T23:04:10.004+08:00April Sports FestApril Summer is next month, and sports fest fever is catching on. At least for the boys. With this year's basketball league coming in a few weeks, the guys have been busy with building teams, practicing, and making uniforms. Meanwhile some of the women have started plotting some crazy parlor games to add some spice to the games.
Covey in Makati Shangri-la. (Stephen M.R. Covey is the eldest son of Stephen R. Covey, author of the immensely popular Seven Habits book.) It was a sort of synopsis to his book "The Speed of Trust". We were seated in a table right before the big projector screen at the right side of the Rizal Ballroom. While our seats left much to desire, everyone of us had something to take home from the forum, not just a bag, a book, and a deck of cards, but also insights, new ideas, and blooming plans. And breakfast was good.

Trust is normally thought an intangible relation between parties. It's in the spectrum of abstract values like love, care, faith, etc. It is so basic to life that we don't actually delve on it often or deeply.

One key realization that is at the core of Covey's book and forum is that when we really think about it, trust is an economic metric. As an economic metric, trust is given a very visible importance to businesses and leaders.

Lack of trust creates layers upon layers of bureaucracy and paperwork. It often leads to unnecessary checks, replication of work or even throwing work out. With loss of trust, decisions stall, business is hampered, and the world slows down. It's a tax.

When we build a good trust relation, we are able to streamline processes. We can work based on the spirit of good will and laws rather than follow everything to the letter and trust nobody. With trust, we are able to do our work much faster, build on the trusted works of others, and elevate our combined effectiveness.

There are apparently two aspects of trust: trust as an integrity concern, and trust as a competency concern. Gaining the speed of trust needs both.

When we say we trust a friend, we mean that we believe our friend to know and act in accordance to our common interest.

When we say we trust a report, we believe that the report is accurate or good enough for our needs. We trust that the output of the person who made the report was competently made.

Somewhat ironically, checks and balances are integral in creating high trust. Checks and balances work to build a baseline level of assurance, that either removes doubts or guaranties particular assumptions.

The value of trust is present perhaps in all relations a company may hold over its lifetime. Even a comprehensive system of checks and balances require trust in the system, for it to to work.

As a company determined to excel in and out, Amici must find a good balance in its evolving system of checks and balances, that can foster greater trust, and eventually accelerated growth. We look to improve relationships with customers and with vendors, as well as between employees.summerendshttp://www.blogger.com/profile/09188705749522665775noreply@blogger.com0tag:blogger.com,1999:blog-7598280673181471306.post-34193240877430134892011-02-16T23:55:00.000+08:002011-04-06T08:39:35.531+08:00FB et al in the OfficeIt's more than a month now since we blocked facebook and youtube from our office network from 8:30 - 12 and 1:30 - 5:30. I wonder how people here have reacted over it.

It's actually been debated since early 2009, whether to do just that or not. The primary problem then was loss of productivity. Restaurant City and Farmville (along with Plants vs Zombies) were grave dangers to work time. Even before, non-stop chatting in YM was already an issue. It seems staying largely unseen by the boss was enough temptation for quite a few.

By large, I resisted having a permanent ban on FB along with some other sites. We want our people to choose the right thing, and be smart about stuff like this. FB and other sites can be good stress relievers after all.

2009 Team building helped some with that regard. After that, clear and blatant abuse were less common, although it was still much of a problem with people stationed in unwatched, far away places.

2010 however brought even more important reasons to do something about it. High bandwidth streaming sites like Youtube was hurting our VPN and email. Then sometimes, we find people fighting because of some status update commonly read wrong or hitting too close to the heart, or below the belt. People here are getting their fun in FB at the expense of others, methinks.

(There's something ironic when people fight because of something said in Facebook. It was supposed to help connect people. But on those times, it was virtually helping connect punches between otherwise good friends. People stopped talking straight. FB was replacing normal human interaction. Scary.)

One interim step I took was to temporarily disable web access to certain sites to specific computers that were found exceeding their "breaktime" quota. But that's unnecessarily Big Brother for me.

So we're now where we are. In the mean time, they're off-limits during work hours. Hello to shorter lunch time.summerendshttp://www.blogger.com/profile/09188705749522665775noreply@blogger.com4tag:blogger.com,1999:blog-7598280673181471306.post-75676113961662902122011-02-01T11:59:00.000+08:002011-04-06T08:40:06.777+08:00Letterhead Through the YearsOur company letterhead has gone through several iterations over the the last decade. I still remember the first one with the red A over the M logo. That was maybe 1997. If I find a copy of that one, I'll post it here.

2000 - 2005 Letterhead

Our early 200x logo just slightly evolved over 5 years as we added brand logos in the footer. We used A.O. Smith's electrical motor logo rather the Water Heaters logo, even though we were much bigger into water heaters than motors.

2006 - 2008 Letterhead

This revision was due to a change in logo. As part of a marketing strategy, we wanted "Water Systems" in our logo. "Amici" as a word is obviously rather generic. The Amici pizza shop wasn't commercialized then. Nowadays, we get confused reactions from callers mistaking us for the pizza parlor.

2008 - 2009 Letterhead

A designer's rendition of our letterhead. Minimalistic design. Symmetry.

2010 Letterhead

This is really just a minor revision. A line of brand logos was added to put some connection to water products.

2011 Letterhead Revisions

This year's letterhead is a major revamp. Why another change? The 2010's line of logo felt tacked in. The 2008 design is elegant, but sometimes we need the company name somewhere there.

In the header are the company logo and specific company details. To adapt the letterhead to our other branches, only the header needs to be modified.

I have had mixed reactions to the logo placement on the upper right corner. It's definitely not common. Nevertheless, I felt a right aligned header magnifies reader focus to the content of the letter.

In previous iterations of this design, all the letterhead text are grayed instead of solid black to further emphasize the document content. But printing issues have made the text too dithered and illegible. So we settled with solid black.

The lower left box of brand logos balances the weight of the upper right header placement. The logos are small but recognizable. It might be an issue if you read things with a magnifying glass. But again, I didn't want the all-too-many logos to detract reader focus. When the reader, out of curiosity, gives attention to the small logos, she will hopefully not find it hard to distinguish the brands we represent.

The lower center box are tag lines of our products and markets, centered for the persons unfamiliar in our industry. Our website is also put here at the bottom, to act as a portal for the recipient to get more company information.

Last but not the least, the lower right box emphasizes to the reader the national level of our business.summerendshttp://www.blogger.com/profile/09188705749522665775noreply@blogger.com6tag:blogger.com,1999:blog-7598280673181471306.post-72463056525220705692011-02-01T00:37:00.000+08:002011-04-06T08:40:48.818+08:00Store FrontWith another new year, I thought it unforgivable that our store front hasn't changed much over the years. Our original store name from 1997 had been effectively erased by a bus accident. Now, it's even covered by the guard house. Some effort had been put in 1999, although virtually only "Water Systems" is visible from the street.

Last year, I put a Sta-Rite tarp on the left of the store. I was elated to get an inquiry on pool products a few weeks after. (These things have effects after all.) Towards October I also added an Aermotor poster. And then we temporarily moved office as we started renovations. Unfortunately, after the renovations finished, I couldn't find the Sta-Rite tarp anymore.

2010 ended and a new year began. We stopped a bit to focus on our primary work. And pretty much no effort was being made any more on our store front.

While a good store front might be a secondary priority for a company like us, since we are primarily a wholesaler, not taking advantage of our front might be remiss of marketing savvy.

We are located at Mayon St. (or Avenue, according to PLDT), and it's not a small street at all. It's a commercial street, though new developments have only started the past few years. We are two blocks away from Suki Market, we're near the local church and baranggay hall, and SM's Sun Residences is rising at the South end of Mayon.

So, to me, that we would not do even simple steps to increase our marketing presence is a loss of opportunity. So what did I do? I brought an unused plastic holder back to life and filled it with excess fliers and brochures. I hung a big A.O. Smith tarp by our window -- it still needs ironing though. I rummaged a "farmland" beside our store, and found a ready-to-be-thrown Atmor sign from our retail days. I taped it at the window in a not-so-nice way. I saw the Aermotor banner hanging by the guard house, but it looked too drab now so I decided against it. Instead, I'd been eyeing two more tarps from our exhibits. They looked nice and green and could work effectively to accentuate our sky blue office. All these hacks weren't so hard.

Next one should be a nicer store sign. Hmmm, we could even use our underwater lights to put on a colorful show. Not. Well, at least a store sign with big nice letters. And then, afterwards? Perhaps our service vans and motor bikes...summerendshttp://www.blogger.com/profile/09188705749522665775noreply@blogger.com0tag:blogger.com,1999:blog-7598280673181471306.post-48051339414841131262010-12-15T23:55:00.000+08:002011-04-06T08:40:22.231+08:00Christmas Around The CornerIt's December. I almost forgot that this blog has turned one year old already! I just read the original post, entitled "December", and it was amusing to read that back then, I was writing about renovations.

Much changed since then. A major renovation actually happened (although it's not quite finished). The vibrant blue of our office gave way to a lighter shade of pale. The garage is now actually empty, and almost setup for residence.

And then again, there are the people. We've experience the highest rate of employee turnover over this year, due in part to improvements in our processes and better checks and balances. Some key personnel have left to chase their dreams or to look for peace. They will be sorely missed. More have moved on to other work where they have found their new homes. To them, we wish luck and a better life.

Meanwhile, with Christmas around the corner, everyone has turned busy bee for the Christmas preps. Perhaps with all the changes that have happened, the Christmas party is one more comfort for our restless minds. After all, we managed to miss the Team Building event this year. At least the year-end party is a vestige of the days merry past.

It's been a difficult year. But we have higher hopes still.summerendshttp://www.blogger.com/profile/09188705749522665775noreply@blogger.com0tag:blogger.com,1999:blog-7598280673181471306.post-60808753787283250372010-11-21T22:50:00.000+08:002011-04-06T08:40:48.818+08:00Moved In!Finally, for what felt like a long time, we've moved in to our new office! It's still the same location, right by the precarious intersection of Mayon and M. Cuenco, where a Florida bus once hit the corner of our humble store, by the border between Quezon City and Manila. But with a new paint, wiring and cables, new tables and chairs and partitions, and a much more sensible arrangement for employees, our office felt imbued with a breath of new life.

Right now, it's not yet a 100% done, mission accomplish project. There are still the oddities from our office's previous iterations like the uncovered section of the aircon's vent as well as the out-of-place legacy PBX hopelessly visible and the unchanged long haul cabling up and about the office and nearby departments. There are still undefined or temporary locations for telecom and printing equipments. And people places will still be changing with time. We still have lots of ideas to improve. This may be a relatively short term fix for capacity stress. But fixing we will do. For us right now, we can accept and embrace the changes moving forward. And we like it like that.summerendshttp://www.blogger.com/profile/09188705749522665775noreply@blogger.com0tag:blogger.com,1999:blog-7598280673181471306.post-24196819999248900822010-10-29T00:26:00.000+08:002011-04-06T08:40:48.819+08:00Office RenovationFor a lot of people who've seen our Metro Manila office, one thing obvious was that it was very crowded. That impression is amplified on those mid-morning hours when everyone was there -- on those times, it was a market place. (Not on those times, it was just an internet cafe.)

Over the past week, however, it's been desert empty, save for the workers and the dust. We're finally on our scheduled major office renovation! We're expecting the project to finish in a couple of weeks or so. In the mean time, we've moved half of us to the obliging service department next door, and the other half to the training room of our sister company Thermovar Pipes.

Moving and subdividing our office to nearby locations is not without challenges. We had to minimize phone, fax, computer and network downtime as we reshaped our infrastructure for our ad hoc relocation. Fortunately, with just a little shuffling, network cabling wasn't too hard; we were able to reuse most of our network cables. Sales executive Alexis Garcia, our resident telecom expert by night, managed the rewiring of our phone and fax system to working order.

This project is a major makeover that's long overdue. There's been so many changes over the years that has stretched our office capacity to its limits. With this over, we expect to maximize space in our humble office and to increase overall efficiency in our operations.summerendshttp://www.blogger.com/profile/09188705749522665775noreply@blogger.com4tag:blogger.com,1999:blog-7598280673181471306.post-18235929315234137572010-10-18T00:37:00.000+08:002010-10-18T00:37:25.510+08:00Walk-In and Phone-Order SalesEarly this year, we started diligently classifying sales whether they're sales booked by agent, ordered through phone, or walk-in sales. We have a lot more sale types like "project" and "key" but we haven't yet discussed the "proper" classification of sales.

I primarily requested due diligence in proper sales classification to measurably monitor an aspect of customer satisfaction. Since we have stocks at two different locations -- our in-store "walk-in"cache of popular goods and our 15-to-20-minute-away warehouse, I wanted to know how often do we make our walk-in customers wait a long time for their orders to arrive.

How do we know if a sale should be a walk-in sale? The question seems simple enough. But there are some aspects that need clarification. An unannounced customer literally walking-in on our store is obviously a walk-in sale. But what do we do about customers we got to talk on the phone or email? For these "announced" customers, if their order is vague or unclear during previous dialog, we still categorize them as walk-in sales. But if their order is known before their arrival, we consider that as phone-order booking.

It is still a question if we should even segregate walk-in sales from phone-order bookings. Phone-order bookings have a propensity to be changed upon customer arrival. Based on our records, phone-order bookings and walk-in sales constitute less than 2% of our sales. That is still substantial however, and surprising for our humble office with hardly space to accommodate waiting customers.summerendshttp://www.blogger.com/profile/09188705749522665775noreply@blogger.com1tag:blogger.com,1999:blog-7598280673181471306.post-13876622097827164792010-10-05T00:51:00.000+08:002010-10-05T00:51:31.503+08:0015-Minute Warehouse LogisticsWithin the last five years, our company has enjoyed excellent growth. A lot of our growth can be attributed to expanded market as well as a more national presence in the Philippines. This growth however also meant an inventory level our humble office could not quite adequately handle.

Over the last few years, we've tried several setups to balance operational efficiency and customer service. We still maintain our sales and administrative office here in Mayon. But we've gone through several warehouses and process changes along the way.

At first, we only just had most of the bulky items moved to our main warehouse. We still have a lot of items in our smaller stockroom here. In our computer system, we maintained two separate inventory levels for both facilities. Unfortunately, this system made physical inventory counting difficult. Worse, a lot of our transactions require stocks from both facilities. This made fixing the paperworks difficult and needlessly complex.

So we decided to setup our one true warehouse. Everything should come out from there. This way, we only maintained inventory level in one facility. All our transactions would be under one facility. It sounded simple and mechanic. But one constant reaction we got was the dissatisfied look from our walk-in customers as they waited for items from our 15-minute away warehouse. Walk-in sales is not big percentage-wise, but each one interacts with our office people more closely than most agent and call-in bookings.

Last year, we changed things a bit to improve our response time and hopefully our customer service. It's actually much more complicated, but that's what you get when you try to put more intelligence into the system. We would now maintain two facilities again: our Main warehouse and our Walk-in "warehouse". Our Walk-in warehouse should be a very small representation of the top 30 SKUs most ordered by Walk-in/Pickup clients. For each SKU, there would be only 1 unit, except for a couple of SKUs people order by 3s or 4s. Every week, we refresh this lineup to refill the blanks. Ideally, the Walk-in items are visually countable in just a couple of seconds. We're not there yet, however, due to space reasons. Our main warehouse contains the rest of our inventory. This system requires that we differentiate walk-in and pick-up sales from booked sales. All booked sales should get their items from the Main warehouse. For any one sale transaction, items should only come from one facility.

We made another optimization soon after that. We moved small items and spare parts back to our diminutive Mayon office. Now that almost sounded like we went back to square one. The difference was that we did not add another facility. We still only have Main and Walk-In. Only this time, we partitioned Main to Warehouse and Mayon. Any one SKU under Main will either be in Warehouse or Mayon, but not both. Our pick list now denotes the location of the SKU under the Main warehouse.

This current setup improves on our customer response time. It also helps our Service department because spare parts are now closer at hand. Due to space reasons, counting is still a challenge. But the enforcement of only one location per SKU diminishes this problem somewhat.

Over time, as we continue to optimize our processes, there will be more changes to improve how we can serve our customers better.summerendshttp://www.blogger.com/profile/09188705749522665775noreply@blogger.com0tag:blogger.com,1999:blog-7598280673181471306.post-58864974225966471672010-09-26T00:29:00.000+08:002010-09-26T00:29:16.596+08:00Clean Up DayToday was a long overdue General Clean Up Day in Amici Office. The last one was 11 months before, which as cleaning goes is ages ago. One can imagine what sort of junk had piled over the year, not to mention the little critters who enjoyed a relatively peaceful colony as pests in the shadows.

We had a much more concerted effort in the clean up process today. Whereas before when there were but few cooperative persons who participated in each Clean Up Day, this whole afternoon was a whole team effort among various departments. That was necessary after all. It was not about tidying up our microscopic world which is our own tables, sometimes hiding under the rug the things we didn't know what to do with. Our office wasn't big to begin with, so any mess around was a mess shared with everyone. From now on, we'd prefer to have a great clean office we can enjoy each day.

To celebrate our humble victory, we capped the day with two boxes of pizzas. Of course, this time, we made sure to tidy up after eating.

There will be more Clean Up days to come. But we don't have to wait for that long. Instead, we hope to treat each day an opportunity to stay clean and maintain orderliness. 5S -- I still remember somewhat attending a seminar on that a couple of years ago. Only four of us attended that seminar with DTI, and only I am left in the same office now. Unfortunately I wasn't able to implement much of what we learned then. But it's never too late for that. A company wide training session on 5S will be most beneficial. And to make it part of our company culture.

We thank Gay who scheduled and directed the event, as well as Lisa and Michelle who procured necessary supplies beforehand. We thank everyone who participated in making our little office just a little bit more habitable.summerendshttp://www.blogger.com/profile/09188705749522665775noreply@blogger.com0tag:blogger.com,1999:blog-7598280673181471306.post-65421513211142377192010-08-30T00:14:00.000+08:002010-08-30T00:14:37.704+08:00Juggling on the SidesSidelines are jobs or work we do outside of our primary line of work. For regular or contractual workers, our primary work will be the tasks we are employed or contracted to do.

In Amici, we do have people who goes into sidelines (from the company's point of view). People go into it mostly to augment their income. Sometimes, people do it to satisfy their cravings and interests, or for experience. It may even be for free.

There have been micro-businesses selling cellphone load, seasonal hawking of food or apparel, or graphics, computer, or professional services. It maybe teaching summer classes at our Alma Mater. It maybe stock market trading or the weekend garage sale or even a trade fair. It may be the occasional quick double-your-money scheme that is hopefully not going to lighten your wallet instead. It may also be the same thing we do in our primary work, just that we do it on our breaks.

Logically, nothing should be wrong with trying to earn for our needs. It's our right to go into business and make money. We might be able to juggle our time and efforts to get more output for our own bottom line. However, things can get messy if we are not careful.

We juggle different things at the same time. Each has expectations and goals. What happens if we mix them up? We might start slacking off our "real" work during our "real" work time so that we can do other performances. This is a major issue in work ethics.

What if we juggle the same kind of work, only some are for our primary work, and some are on the side? If we do the sideline outside of work schedule, will there still be a problem? Unless the employer gave express permission for the sideline outside of work schedule, there's a conflict of interest somewhere here. Here we maybe competing with our own company. Competition can go from healthy to downright ugly. This happens when our company is left unaware of the little competitor inside being paid salary and given marketing support and leads, who may have the means and the nerve to misrepresent the company, mislead customers, or even sabotage company activities. We must remember that we are associated with our company. What we do reflect on our company, even if without the company's blessings.

Finally, we might decide to juggle just a little too fast, too much. We have our limitations, and as we get near that, we strain our focus, our energies, and we sacrifice performance for mediocrity that does not impress. When we do sidelines beyond our means, we tend to do poorly on our primary work. We lose sight of our intended goals, and just see the blurry motion of all the works we put into our own hands. Soon, we will make a mistake and we are left with a mess on the floor when things just crash and fall apart.summerendshttp://www.blogger.com/profile/09188705749522665775noreply@blogger.com1
